Primary Purpose of Position
The Grants Support Specialist provides post-award financial and administrative support for sponsored projects across the College, serving assigned departments based on grant activity and operational needs.

Reporting to the Business Officer for the CHESS Office of Finance & Personnel, this position partners with faculty, department staff, and college leadership to ensure accurate financial management, compliance, and high-quality post-award support.

The person hired into this role will also be responsible for preparing ad hoc grant activity reports for college leadership. The position may also perform additional financial and business functions in support of College operations, as assigned.
Minimum Education/Experience
Required Minimum Qualifications:

High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of education and experience.

Essential Job Duties

  • Coordinate with Principal Investigators (PIs), department staff, and the Office of Research Services (ORS) to manage and monitor grant and contract funds.
  • Assist PIs with budget tracking, allowable cost determination, and compliance with Federal, State, and sponsor regulations.
  • Prepare, process, and/or approve purchasing requisitions, grant-funded travel, and related financial transactions.
  • Process hiring and personnel actions for all grant-funded positions, including faculty, postdocs, temps, and students, including Release Time Requests, summer salary actions, and other related payroll and employment actions.
  • Provide timely financial updates, reports, and guidance to PIs, Department Chairs, and College leadership.
  • Support grant closeout processes, technical reporting, and compliance documentation in coordination with ORS.
  • Assist with budget modifications, carry-forward requests, and no-cost extensions.
  • Identify, monitor, and enforce university policies related to fund transfers, hiring deadlines, and other grant management expectations.
  • Manage the flow of budget and account documents and provide advice as needed to PIs, Lab Technicians, and RAs (Research Assistants), Department Chair(s), and the College Business Officer regarding the proper and timely submission of reports and requests.

Other Work Responsibilities

  • Work collaboratively with the College Business Officer and ORS to identify and correct budgetary and other errors.
  • Provide timely financial updates, reports, and guidance to PIs, Department Chairs, and College leadership.
  • Serve as backup for the other departmental Grants Support Specialist to ensure continuous coverage across departments.
  • Other duties, as assigned.

Departmental Preferred Experience, Skills, Training/Education

  • Previous experience with Accounting and Financial Management in Higher Education is desirable.
  • Knowledge of Banner, 49er Mart, Niner Research, P-card, or similar University systems is desirable.
  • Professional experience managing and reconciling externally funded grants and contracts, including demonstrated knowledge of reviewing, viewing, and correcting complex information, is preferred.
  • Knowledge of Microsoft Office (Excel, Word, Access). Strong written and verbal communication skills, and the ability to work with very careful attention to detail and deadlines are essential.
  • Completion of or being currently enrolled in the Certification in Grants and Contracts Administration Certificate program is desirable.
