| Position Summary |
The Administrative Support Supervisor for the Department of Orthopaedics provides strategic operational leadership and high level administrative oversight for a large, complex academic clinical department. The role supervises a centralized team of four administrative professionals who support more than 50 faculty and APPs, manage educational program coordination, and ensure efficient, consistent administrative services.
This position leads workflow planning, workload distribution, priority setting, process improvement, and policy development to maintain quality and compliance in a fast paced clinical environment. It also serves as a lead project manager for major departmental initiatives from senior leadership, coordinating cross functional projects involving multiple stakeholders, tight deadlines, and organizational change.
The supervisor partners closely with the Vice Chair of Operations to support clinical operations, staffing, scheduling optimization, and operational initiatives. They also support Orthopaedic Sports Surgeons and administer the
ACGME Sports Surgery Fellowship.
A major responsibility includes leading clinical scheduling operations with advanced oversight of the Qgenda platform, ensuring accurate and compliant scheduling, resolving conflicts, setting standards, and training staff.
The role also manages key HR functions, including hiring, onboarding, coaching, performance evaluation, leave approvals, training needs, and corrective actions. The supervisor will use strong judgment, communication, and interpersonal skills to handle sensitive issues and support departmental leadership.
Overall, the position strengthens administrative infrastructure and ensures high quality support that advances the department's clinical, academic, and operational missions. |
| Minimum Education and Experience Requirements |
High school diploma or equivalency and two years of progressively responsible administrative/office management experience, including some experience as a lead worker; or equivalent combination of training and experience. |
| Management Preferences |
- Strong written and verbal communication skills, with the ability to communicate clearly and effectively with faculty, administrators, and staff.
- Experience working in a surgical department within an academic medical center, supporting clinical, educational, and research activities.
- Knowledge of orthopaedic operations, including familiarity with orthopaedic terminology, clinical workflows, and faculty/APP support needs.
- Experience coordinating and managing operational or administrative projects, including efforts to improve efficiency, standardize processes, or enhance service delivery.
- Experience supporting or partnering with senior leadership on operational initiatives, planning efforts, or special projects.
