| Essential Job Duties |
The primary purpose of this position is to serve as the liaison between the Graduate School and students and departments regarding Electronic Thesis & Dissertation (
ETD) processes. The role ensures ETDs comply with the
ETD Guide by electronically reviewing required formatting and spot-checking for production errors, and works directly with students to resolve identified issues.
Key Responsibilities
Education and Communication of ETD Processes
- Respond to questions from students, faculty, and staff regarding ETD guidelines, Graduate School policies, and graduation processes.
- Communicate semester deadlines related to ETD submission and graduation.
- Design and deliver in-person and virtual ETD workshops, providing step-by-step guidance on thesis/dissertation preparation, policies, and deadlines.
- Communicate and provide training on updates to ETD guidelines and review processes; maintain accurate and current ETD website content.
- Coordinate collection of the doctoral Survey of Earned Doctorate Certificate of Completion and update receipt status in the student information system.
ETD System Processes
- Enter thesis review and final acceptance milestones into the student information system.
- Serve as functional lead on ETD-related projects.
- Process embargo requests for ETDs.
Coordination of Graduation Activities
- Prepare the final graduation walk list for three annual commencements in collaboration with campus partners.
- Coordinate with graduation speakers to ensure accurate phonetic name pronunciation.
- Attend commencements and oversee the line-up of doctoral candidates and sponsors for the processional.
Other Processes
- Assist College Liaisons with Application to Graduate and Graduate Clearance matters.
- Provide additional office support during peak periods, including processing admissions applications, answering phones, and assisting walk-in students.

- Assist with other admissions jobs as necessary.
- Assist with ETD process, in the absence of the ETD Editor.
- Assist with other tasks in the office as requested by Supervisor.

Qualifications
| Minimum Experience/Education |
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

| Preferred Qualifications |
- Experience interpreting and applying academic policies, guidelines, or procedural standards in a higher education environment.
- Demonstrated ability to review detailed documents for formatting accuracy and compliance with established standards.
- Experience presenting information or conducting workshops for groups, both in person and virtually.
- Knowledge of Electronic Thesis & Dissertation (ETD) formatting requirements and student information system (PeopleSoft).
- Strong organizational and communication skills, with the ability to coordinate processes involving multiple stakeholders and deadlines.
