Payroll Accounting


  1. Process hourly and salaried employee payroll:

* Ensure employee timesheet data is accurate and assist managers with staff timesheets as needed.

* Process bonuses, PTO payouts, retro pay, tax levies and other requests.

* Calculate, review and distribute employee pay bi-weekly.

* Prepare bi-weekly payroll summary, including cash activity, tax breakdown and 401k contribution detail.

* Manage company car mileage reporting.


  1. Generate payroll and financial reports:

* Prepare monthly reports such as PTO & ESST accruals, salary data for profit sharing calculations, monthly overtime usage, payroll deductions by employe, etc.

* Prepare monthly payroll and benefit related statistics and enter in accounting software.

* Produce and distribute monthly labor distribution reports.

* Maintain payroll software set-up, system integrity and data accuracy

* Maintain and update payroll records for each employee.

* Administer year-end payroll activities, such as W-2 preparation.

General Ledger/Accounting Duties


  • Reconcile payroll and fringe benefit general ledger accounts.
  • Prepare and post monthly journal entries to the general ledger:
  • PTO and ESST accrual
  • Profit-sharing accrual
  • Health and life insurance expenses
  • Produce and coordinate distribution of quarterly departmental Operating Statements.

Miscellaneous duties.


  • Prepare monthly MN State sales tax filing.
  • Collect and submit data for annual 401k compliance, Cafeteria Plan nondiscrimination testing and annual Workers Compensation audit.

* Prepare year-end audit papers as assigned.

* Ensure compliance with regulations such as Federal Labor Standards Act, Federal Insurance Contributions Act, and Family Medical Leave Act.

* Monitor changes in payroll tax and labor regulations.

* Other miscellaneous projects and duties assigned.

Education and Experience:


  • Four-year accounting degree is preferred or two-year degree with direct comparable experience.
  • Five years of payroll processing and general ledger accounting experience.
  • Certified Payroll Professional designation preferred.

Knowledge, Skills and Abilities:


  • Proficiency in payroll and accounting software systems, preferably UKG Ready and Sage Intacct.
  • Strong understanding of federal and state payroll tax laws and regulations.
  • Understanding of payroll accounting principles.
  • Must have advanced Excel spreadsheet skills.
  • Must be able to think through problems or processes with minimal assistance.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Patient centered; strong customer service orientation.
  • Ability to handle multiple priorities and deadlines and troubleshoot and resolve problems.
  • Ability to work independently, exhibit mature judgment and make sound decisions.
  • Ability to handle confidential information with the utmost judgment and discretion.
  • Proficiency with Microsoft Word and Outlook.
