| Position Summary |
The Office of Internal Grants, Awards, and Research Personnel (
IGARP) within the Office of Research is seeking a motivated, energetic individual to join their team as an Operations Assistant. This position reports directly to the Operations Specialist. This person is responsible for administrative and clerical assistance for program and process operations for the above office under the guidance and direction of the Associate Vice President for Research (
AVPR), Associate Director, and Operations Specialist. The person in this role will:
- Provide general administrative support for IGARP.
- Execute logistical details of IGARP and campus engagement events and provide administrative and clerical support to the AVPR for campus engagement activities.
- Provide administrative and clerical support for IGARP process and program operations, including but not limited to the Visiting Researcher/Scholar registration process, the postdoc appointment process, the research scientist promotion process, and office competitive programs.

- Process reimbursements related to IGARP business
- Initiate travel authorities for the AVPR, Associate Director, and Operations Specialist
- Coordinate general office needs, such as repairs and other work orders, POs, and paper file management/file archiving requests

Execute Logistical Details of IGARP and Campus Engagement Events:
- Execute logistical details of professional development events and special events for postdoctoral scholars and research scientists, including scheduling, registration form creation and RSVP management, creating event announcements and flyers, posting information to the Postdoctoral Portal Events page, physical set up, scheduling catering, and other event needs.
- Execute logistical details of the AVPR's Research Communication and Collaboration Roundtable group, including scheduling meetings and speakers, communicating via listserv, physical setup for meetings, webpage list, and listserv management.
- Assist the AVPR as needed with administrative tasks for other campus engagement activities

- Co-monitor all IGARP departmental email accounts, respond to general inquiries, and alert Operations Specialist, Associate Director, and/or AVPR to questions and issues
- Schedule office and committee meetings
- Document creation and filing, creating correspondence, collecting and updating data across all office programs and processes
- Perform initial intake of Visiting Researcher/Scholar registration requests.
