Summary
Mathys+Potestio (M+P) is seeking a highly professional Senior Executive Assistant to provide dedicated support to one or two senior leaders, including a VP transitioning into a new role. This full-time, onsite position requires exceptional organizational skills, attention to detail, and the ability to operate independently in a fast-paced corporate environment.
Key Responsibilities
Provide high-level executive support with professionalism, discretion, and strong interpersonal skills.
Proactively manage complex calendars, schedule meetings, and navigate shifting priorities.
Coordinate domestic and international travel, including itineraries, accommodations, visas, and expense reconciliation via online booking tools or corporate travel systems.
Draft, edit, and format correspondence, reports, and executive presentations using Microsoft Office Suite and related productivity tools.
Handle sensitive communications and ensure timely responses to high-priority items.
Coordinate logistics for team meetings, site events, and large cross-functional functions.
Manage office supply inventory, equipment maintenance, and vendor coordination.
Serve as a key liaison between leadership, internal business partners, and administrative peers across locations.
Provide backup coverage to other team members or business units when needed.
Deliver concierge-style support such as notary services, business card ordering, and assistance with corporate travel or supply requests.
Assist with onboarding, training, and knowledge sharing among administrative professionals.
Support workforce engagement and site-wide initiatives through planning, volunteering, and execution.
Qualifications
Minimum 5+ years supporting senior executives (VP, Director, or C?suite level) in a fast-paced environment.
Proven strength in complex calendar management, travel coordination, and expense reporting.
Familiarity with corporate travel workflows and vendor systems.
Exceptional discretion, professionalism, and executive presence.
Proficiency with Microsoft Office Suite and common business collaboration tools (Teams, Outlook, Excel, PowerPoint).
Strong written and verbal communication skills.
Ability to adapt quickly and operate independently with minimal oversight.
Notary Public certification (or willingness to obtain).
Work Structure and Expectations
This role is 100% onsite in San Jose; no remote or hybrid options are available.
Standard hours are Monday-Friday, 8:00 a.m.-5:00 p.m.
The position does not require managing multiple global time zones; focus is primarily U.S.-based coordination.
90-day initial assignment with potential for extension based on business needs and performance.
Compensation and Benefits
Hourly pay rate: $40-48/hr (W-2)
May be eligible for PTO, health and dental insurance, and/or 401(k) benefits upon meeting service and hours requirements.
