In the role of Administrative Office Coordinator, we'll count on you to:
  • This role will sit at the front desk, Monday-Friday 8:00am to 5:00pm.
  • Provide support for staff as needed, including reception duties, answering and directing telephone calls, delivering messages, greeting employees and visitors, scheduling conference calls, coordinating incoming and outgoing mail, and lunches
  • Support the development and implementation of the organizations Quality Management System (QMS)
  • Construction administrative duties; formatting specs, entering change orders, RFI's, submittals
  • Type, revise and combine materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy or previous versions
  • Proofread and edit documents for grammar, spelling, punctuation and format
  • Complete word processing as needed, including letters, memos, reports and labels
  • Some basic accounting duties
  • Provide meeting setup, travel arrangements and other miscellaneous tasks/projects as needed
  • Complete project-related administrative duties at the guidance and direction of Section Managers and Project Managers to support client-related deliverables
  • Perform other duties as needed

Preferred Qualifications

  • Associate degree preferred

Required Qualifications
  • High School diploma or equivalent
  • A minimum of 3 years experience in administrative support
  • Knowledge of MS Office Suite, including Word and Outlook
  • Excellent verbal and written communication skills
  • Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
  • Ability to meet deadlines
  • Knowledge of A/E industry desired
  • Experience working in an office environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
