DESCRIPTION

The Altman Clinical and Translational Research Institute (ACTRI) is an NIH-funded Clinical and Translational Science Award (CTSA) institution that provides the infrastructure to support high-quality and innovative translational research. ACTRI's vision is to translate scientific discoveries into improved health by delivering education, training, and infrastructure for clinical research in the San Diego area and beyond.

The ACTRI Center for Clinical Research is under the co-direction of Mark S. Wallace, MD and Kathryn Gold, MD. The Center encompasses services that facilitate performing all aspects of clinical research from Idea to Innovation. More than two dozen employees - skilled nurses, a registered dietitian, a registered sonographer, clinical coordinators, project managers, pharmacists, and pharmacy technicians - support the researchers who conduct clinical trials at the ACTRI.

The ACTRI Clinic Administrative Coordinator provides administrative, operational, and project support for the Center for Clinical Research (CCR), a division of the ACTRI that supports more than 200 clinical trials annually. This role contributes to smooth day to day clinic operations, assists research teams, and supports the clinic's scheduling and information systems. The position is highly visible and customer facing, requiring excellent communication, professionalism, and independent judgment in a fast paced research environment. This position will support clinic leadership and have a responsibility for all ACTRI clinic sites including La Jolla and Linda Vista.

MINIMUM QUALIFICATIONS
  • Strong assistant skills: Ability to establish and adjust work priorities. Follows direction in the form of guidelines which will serve as overall goals for the department. Maintain a high level of confidentiality and ability to make decisions independently. Experience with successfully following multiple tasks through to completion.

  • Strong interpersonal communication skills including ability to communicate in a clear, concise manner with tact and diplomacy. Ability to communicate clearly and logically. Demonstrated experience in effectively communicating by telephone, in person, or in writing, with a diverse cross-section of individuals at all levels, inside and outside of the University.

  • Ability to accurately and rapidly review and process a large volume of information dealing with a broad range of topics. Proven skill to independently research, compile, organize, interpret and select data and materials from various sources.

  • Ability successfully performing multiple tasks including coordinating the efforts of multiple contributors through to completion.

  • Strong organizational skills. Must be able to prioritize workload and analyze complex priorities. Must be able to complete tasks to meet deadlines, with minimal supervision.

  • Proficient in the use of Windows-based word processing, and database software (MS Word, Excel, PowerPoint, and email).

  • Demonstrated experience in setting up and maintaining accurate filing systems.

  • Experience coordinating complex itineraries.

PREFERRED QUALIFICATIONS
  • Familiarity with clinical trials management and data collection.

  • Demonstrated experience with Marketplace and Financial Link. Experience using database software programs.

  • Experience in bookkeeping and/or financial management including preparation of financial reports including projecting and analyzing expenditures.

  • Working knowledge of UCSD policies/procedures regarding purchasing. Familiarity with UCSD Internal Audit requirements.

  • Knowledge of and ability to apply and interpret regulations and guidelines for various funding sources.

  • Experience with Epic.

SPECIAL CONDITIONS
  • Employment is subject to a criminal background check and pre-employment physical.

  • May be required to work at different work locations.

  • Occasional evenings and weekends may be required.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
