Strategic Occupancy Planner

Job Title: Strategic Occupancy Planner

Position Overview

The Strategic Occupancy Planner is responsible for translating business unit operational requirements into real estate and workplace strategies across a complex commercial real estate portfolio. This role partners with business leaders, facilities, real estate, and project delivery teams to capture both macro-level portfolio demand and micro-level space planning requirements across a diverse set of facility types.

The Strategic Occupancy Planner supports planning for environments including corporate offices, laboratories, data centers, manufacturing facilities, and mixed-use spaces. By analyzing workforce trends, operational workflows, and space utilization, this role develops actionable planning solutions that inform lease strategy, capital investments, and workplace design.

This role requires strong analytical skills, stakeholder engagement, and the ability to align real estate strategy with business growth and operational needs.

Key Responsibilities

Business Unit Engagement & Requirements Capture

  • Partner with business unit leaders to understand current and future operational needs.

  • Capture space and operational requirements at both the portfolio level and project level.

  • Facilitate stakeholder interviews and planning sessions to document functional needs.

  • Translate operational requirements into space programs and planning scenarios.

  • Strategic Portfolio Planning (Macro-Level)

  • Support long-range portfolio planning across multiple regions and facility types.

  • Analyze workforce projections, utilization trends, and operational requirements to forecast space demand.

  • Support portfolio strategies such as expansion, consolidation, lease renewals, and site selection.

  • Develop planning scenarios and capacity models to support strategic decision making.

  • Space Planning & Programming (Micro-Level)

  • Translate business requirements into space allocation plans, stacking diagrams, and block plans.

  • Develop space programs that support operational workflows for offices, labs, data centers, and manufacturing spaces.

  • Collaborate with design and construction teams to ensure planning requirements are incorporated into projects.

  • Support move planning and space optimization initiatives.

Data Analysis & Reporting

  • Maintain occupancy, utilization, and capacity data across the portfolio.

  • Develop reporting that supports leadership decision making and capital planning processes.

  • Identify opportunities to improve space utilization and operational efficiency.

  • Support demand forecasting and portfolio performance tracking.

Cross-Functional Collaboration

  • Partner with facilities, real estate, workplace strategy, and project delivery teams.

  • Support capital planning initiatives through demand forecasts and program requirements.

  • Provide planning input during early project scoping and feasibility analysis.

  • Participate in governance processes related to portfolio planning and project approvals.

Required Qualifications

  • Bachelor's degree in Real Estate, Architecture, Interior Design, Engineering, Business, or related field

  • 8+ years experience in occupancy planning, workplace strategy, space planning, or corporate real estate

  • Experience supporting complex portfolios with multiple facility types

  • Strong analytical and problem-solving skills

  • Familiarity with lab or technical facility planning requirements

  • Ability to translate operational requirements into spatial planning solutions

  • Excellent communication and stakeholder management skills

  • Advanced skills in Microsoft Excel, AutoCAD and CAFM tools

Preferred Qualifications

  • Experience supporting technology, research, or manufacturing environments

  • Experience with space planning and portfolio management tools

  • Experience working with global or multi-region portfolios
