Overview

The Leave Programs Specialist is responsible for administering and supporting company leave programs, including ADA, FMLA, Short-Term Disability (STD), Paid Time Off (PTO), and other related absence management policies. This role ensures compliance with federal, state, and local regulations, partners with internal stakeholders and third-party administrators (TPAs), and provides exceptional service to employees and managers throughout the leave process.



Responsibilities

Leave Programs Administration

    Administer end-to-end processes for leave programs, including FMLA, ADA accommodations, STD, and PTO programs.
  • Ensure compliance with applicable laws and company policies.
  • Maintain accurate records and documentation for all leave cases.

Employee & Manager Support

  • Respond to inquiries and provide support to employees and managers regarding leave policies and procedures.
  • Provide guidance on eligibility, documentation requirements, and timelines.
  • Communicate clearly and empathetically throughout the leave process.

Compliance & Policy Management

  • Monitor changes in federal, state, and local leave laws and recommend policy updates.
  • Ensure adherence to ADA requirements and coordinate reasonable accommodations between TPA and business leaders.
  • Ensure compliance with PTO policies and monitor changes legislatively related to paid time off programs.

TPA & Vendor Partnership

  • Collaborate with third-party administrator to manage FMLA, ADA, STD, and LTD claims and other outsourced leave programs.
  • Review and reconcile vendor reports for accuracy and compliance.

Cross-Functional Collaboration

  • Partner with internal stakeholders, including HR Business Partners, Payroll, Benefits, Legal and Employee Relations to ensure seamless leave administration.
  • Support integration of leave data with HRIS and payroll systems.

Reporting & Analytics

  • Prepare regular reports on leave utilization, trends, and compliance metrics.
  • Identify opportunities for process improvement and efficiency.
  • Complete all responsibilities as outlined in the annual performance review and/or goal setting.
  • Complete all special projects and other duties as assigned.
  • Must be able to perform duties with or without reasonabl accomodation.

Qualifications

Education & Experience

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • 2-4 years of experience in leave administration or HR operations.

Knowledge & Skills

  • Strong understanding of FMLA, ADA, STD, LTD, paid time off programs, and related regulations.
  • Experience working with third-party administrators and HRIS systems.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational and time management abilities.
  • Ability to handle confidential information with discretion.

Preferred

  • Experience in a multi-state environment.
  • Familiarity with UKG or similar HR technology platforms.
  • Certification (e.g., SHRM-CP, CEBS) is a plus.

Physical Requirements and Working Conditions:

  • Remaining in a stationary position, often standing or sitting for prolonged periods.
  • Repeating motions that may include the wrists, hands, and/or fingers.
  • Must be able to provide a dedicated, secure work area.
  • Must be able to provide high-speed internet access/connectivity and office setup and maintenance.
  • No adverse environmental conditions are expected.

Base compensation ranges from $76,000 to $92,000 per year. Specific offers are determined by various factors, such as experience, education, skills, certifications, and other business needs.
