Job Description

PURPOSE AND SCOPE:

The Coordinator III, Computerized Maintenance Management System (CMMS) ensures the integrity, governance, and effective utilization of the College's CMMS to support institutional compliance, asset lifecycle management, and operational efficiency. This role supports preventive and predictive maintenance, facilitates cross-system data integration, and provides analytics to inform strategic facilities decisions. The position promotes user adoption and consistent maintenance practices across the institution.

ESSENTIAL JOB FUNCTIONS:

  1. Administers the CMMS software, including configuration, customization, workflow design, warranty management, and user support
  2. Ensures the integrity and governance of CMMS data, maintaining accurate records of assets, work orders, preventive maintenance schedules, and vendor information
  3. Performs research in performance of duties, and develops, monitors and maintains a variety of spreadsheets, databases and reports; Presents findings to appropriate clients
  4. Coordinates CMMS data reconciliation with related enterprise systems (ERP, GIS, finance, capital planning) to ensure consistency, compliance, and transparency
  5. Generates reports, dashboards, and KPIs to measure asset reliability, maintenance effectiveness, and cost performance; leverage predictive analytics to identify trends and optimize preventive maintenance
  6. Supports compliance and audit readiness by maintaining accurate asset and maintenance records aligned with institutional and external requirements
  7. Facilitates training, develop user guides, and champion adoption of CMMS best practices among staff and contractors
  8. Provides analysis and recommendations to improve maintenance processes, asset lifecycle planning, and replacement strategies
  9. Responsible for ensuring and maintaining compliance with local/state/federal processes and documentation
  10. May coordinate and manages department and management calendars and schedules
  11. May assist with management of the department budget
  12. Takes part in and/or leads special projects as needed
  13. Responsible for other reasonable related duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong familiarity with CMMS software (e.g. Maximo, TMA or equivalent) and database management principles
  • Solid understanding of maintenance best practices, predictive and preventive maintenance, an equipment lifecycle management
  • Strong attention to accuracy and detail
  • Excellent knowledge of general office and software applications including reporting software (e.g. Microsoft Excel, PowerBI)
  • Ability to prepare and analyze reports, including ability to analyze data, identify trends, and generate actionable insights
  • Possesses excellent organizational skills
  • Strong multi-tasking abilities with the ability to prioritize duties
  • Strong communication skills
  • Ability to train, document, and support the LSC user community
  • Knowledge of higher education operations, academic scheduling, and campus infrastructure is preferred
  • Knowledge of data governance, compliance frameworks, and internal control practices is preferred

PHYSICAL ABILITIES:

This work requires some physical exertion, such as long periods of standing; walking over rough, uneven, or rocky surfaces; recurring bending, crouching, stooping, stretching, reaching or similar activities; or recurring lifting of moderately heavy items. The work may require specific, but common, physical characteristics and abilities, such as above average agility and dexterity.

WORK SCHEDULE & CONDITIONS:

  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards

REQUIRED QUALIFICATIONS:

  • Bachelor's Degree and at least 1 year of related work experience, or an equivalent combination of experience and education
  • Experience managing or supporting CMMS platforms

PREFERRED QUALIFICATIONS:

  • Degree in Database Management, Facilities Management, or related field
  • At least 3 years of experience managing or supporting CMMS platforms
  • Certification in maintenance or asset management (e.g. Certified Maintenance and Reliability Professional ' CMRP, IAM Asset Management or similar)
  • Experience applying predictive maintenance or reliability centered maintenance strategies

Hiring salary range is

Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education.
