Overview

Provides high-level administrative and operational support to the Line of Business Managers including oversight of reporting and key performance metrics, and the coordination and execution of strategic initiatives and special projects that support business priorities.

KEY RESPONSIBILITIES

  • Performs analysis and develops multiple business critical reports for the Line of Business (LOB), including key performance metrics, scorecards, sales metrics and non-performing loan reports to support management decision-making.
  • Completes assigned initiatives, including attending meetings, documenting outcomes, and ensuring follow-up actions are tracked and executed.
  • Works independently, or within teams, on special non-reoccurring and ongoing projects, e.g., Line of business projects, mortgage technology projects, Loan Administration projects
  • Anticipates the needs of the Mortgage Management Team and proactively plans, prioritizes, and executes activities to support leadership effectiveness.
  • Manages calendars and time for Mortgage Managers, coordinating internal and external meetings and ensuring leaders are well-prepared with relevant background information and materials.
  • Prepares, compiles, and delivers professional communications and materials, including memos, reports, spreadsheets, presentations, and correspondence sourced from internal and external data.
  • Ensures leadership is thoroughly prepared for meetings, presentations, and key business activities.
  • Coordinates and facilitates onboarding sessions for loan officers and mortgage associates.
  • Leads and supports LOB-specific projects, including scheduling, stakeholder coordination, documenting next steps, tracking progress, and ensuring timely completion of deliverables.
  • Oversees planning and execution of the Annual Mortgage Conference and Wisconsin Realtors Association Annual Conference, including logistics, venue coordination, speaker management, awards, and event details.
  • Handles sensitive and confidential information with a high level of discretion, professionalism, and sound judgment.
  • Supports the SVP, Director of Mortgage, and Mortgage Management Team across a range of administrative and operational needs.
  • Researches, investigates, and resolves inquiries or issues through completion; demonstrates strong problem-solving skills and appropriate escalation when needed.
  • Prepares accurate and timely correspondence, reminders, reports, proposals, and various administrative deliverables.

JOB REQUIREMENTS - EDUCATION, KNOWLEDGE AND SKILLS

  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Knowledge of mortgage regulations and prior Mortgage experience preferred.
  • Must be able to handle sensitive and confidential information in a trustworthy manner and have a courteous, professional demeanor.
  • Must have excellent interpersonal skills, strong organizational skills, calendar management skills, display initiative and have the ability to work independently, anticipating the needs by executives
  • Needs to have the ability to pro-actively seek creative solutions to issues or problems when a clear path to resolution is not always evident.
  • Must have high proficiency in Microsoft Suite of products - Outlook, Word, Excel and PowerPoint. Ability to create presentations in keeping with corporate standards.
  • Proficiency in SharePoint.
  • Ability to consistently demonstrate high quality decision making, keen problem solving and analysis skills when a clear path to a resolution is not always evident
  • Attention to detail and accuracy is required, including proofreading and follow through of communications and corrections to ensure quality product.
  • Ability to handle multiple tasks and demonstrate flexibility with changes and job responsibilities.
  • Must demonstrate excellent written and verbal communication skills to effectively interact with all levels across the organization as well as stakeholders outside the organization.
  • Some travel may be required between regions.
  • Bachelor's degree preferred; relevant work experience may be considered in lieu of a degree.
