This role is ideal for someone who enjoys interacting with people, takes pride in creating a welcoming and professional office environment, and is comfortable balancing traditional receptionist duties with a variety of firm support responsibilities. The successful candidate will be organized, proactive, flexible, and willing to assist wherever needed to help the office operate efficiently. This is an onsite position requiring consistent coverage during established office hours. Because reception and onsite firm support are core responsibilities of the position, regular and dependable in-office attendance is essential. What You Will Do: Reception & Guest Services Greet clients, visitors, candidates, and employees in a friendly and professional manner. Answer and appropriately route incoming telephone calls and general inquiries. Manage visitor arrivals and coordinate with employees regarding their guests. Maintain a professional, organized, and welcoming reception and lobby area. Assist with visitor parking, building access, conference room locations, and other onsite needs. Provide exceptional client service and represent the firm professionally at all times. Conference Rooms & Meetings Assist with conference room preparation, including room setup, refreshments, supplies, and basic technology needs. Monitor shared meeting spaces and ensure rooms are clean and ready for the next meeting. Help coordinate catering and food deliveries for meetings, events, and office functions. Assist with meeting materials, name tags, table tents, signage, and other event-related needs. Firm & Office Support Provide general administrative and operational support to employees and office leadership. Receive, sort, and distribute incoming mail and deliveries. Prepare outgoing mail, packages, and courier shipments. Maintain office, kitchen, conference room, and hospitality supplies and notify the appropriate team member when replenishment is needed. Assist with printing, copying, scanning, binding, document preparation, and other administrative requests. Help coordinate employee onboarding activities, including preparing workspaces, welcome materials, access information, and other first-day needs. Assist with internal office communications and distributions. Support office events, employee meetings, and other firm activities. Help maintain organized shared spaces and identify facility or maintenance concerns requiring attention. Provide backup administrative coverage and assist with special projects as needed.
