Overview



  • Provides assistance for day-to-day Human Resources activities partnering closely with HR Business Partners and the Training Manager to help deliver efficient, responsive HR and training services across the organization. This role assists with a variety of HR functions throughout the employee lifecycle, including onboarding, employee records management, recruiting and training coordination, reporting, employee communications, and general HR activities



Job Responsibilities

* Provide administrative support to the HR Business Partner team and the training manager
* Maintain personnel files in compliance with company standards and applicable state and federal guidelines.
* Maintain the integrity and confidentiality of human resource files and records.
* Assist with maintaining recruitment and selection records.
* Responsible for internal new hire process including all department notifications and new hire orientation scheduling.
* Initiate and conduct employee drug and background checks.
* Responsible for the timely entry of new hires, pay rates, pay status changes and termination information of all employees into the HRIS.
* Complete E-Verify submissions for all new hires and maintain accurate, compliant form I-9 records. Conduct or assist with new hire on-boarding and orientation.
* Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
* Assist with creation and editing of companywide communications via email and intranet posts.
* Order new hire welcome bags supplies and coordinate with Marketing to ensure brand guidelines are met.
* Assist with content creation and maintenance of HR intranet pages.
* Answer frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, training initiatives, etc.; refer more complex questions to appropriate senior-level HR staff or leadership. Provide support to the HR department. Assists with the planning and execution of special events such as benefits enrollment, organization-wide meetings, training initiatives, etc.
* Perform other duties and special projects as assigned.

Qualifications

* Must possess, as a minimum, a high-school diploma. Associate's degree and 3+ years of office admin/clerical experience. A bachelor's degree in Human Resources or Business Administrator is preferred.
* Knowledge of Microsoft Word, Excel, PowerPoint, and Outlook preferred.
* Demonstrated interpersonal, written and organizational skills along with a proven ability to work independently and under pressure.
* Computer competency required including electronic spreadsheet, databases, work processing and network administration.
* Effective teamwork and interpersonal skills.
* Ability to maintain confidentiality and exercise sound judgment.
* Exceptional customer service skills.

Physical Requirements

* The work is semi-sedentary and requires the ability to lift up to 20 pounds.
* Manual dexterity, hearing, mental acuity, typing, reaching, repetitive motion, speaking, talking, visual acuity, and walking.
* Ability to stand and sit for periods longer than 30 minutes but not to exceed two hours consecutively.
* Ability to control behavior when encountering stressful situations or short deadlines and to maintain a high level of concentration.
* Ability to print and draw letters, numbers, words, characters, and symbols that are legible and understood by others.
* Ability to learn complex tasks and remember how to complete tasks without assistance once trained.
