Every team needs that one person who just gets it done. As a Permit Office Specialist, you'll manage the details, support the crew, and keep the operation running like a pro. Your organizational skills and upbeat energy make you the go-to person everyone counts on.

The Permit Office Specialist is responsible for providing administrative and customer service support for municipal permitting operations. This position serves as a primary point of contact for residents, contractors, developers, and business owners seeking permits and approvals.

Job Duties



  • Receive, review, and process permit applications for completeness and accuracy.
  • Assist residents, contractors, developers, and business owners with permit requirements, procedures, and application processes.
  • Provide information regarding zoning, building, occupancy, business, and related municipal permits.
  • Enter permit information into computerized permit tracking systems and databases.
  • Route permit applications to appropriate departments for review and approval.
  • Schedule inspections and coordinate communication between inspectors, applicants, and other municipal departments.
  • Collect permit fees and other associated payments and maintain accurate financial records.
  • Maintain permit files, records, and documentation in accordance with municipal policies and state regulations.
  • Prepare reports, correspondence, permits, certificates, and related documents.
  • Respond to inquiries in person, by telephone, and via email in a professional and courteous manner.
  • Assist with public records requests related to permitting activities.
  • Monitor permit status and notify applicants regarding approvals, deficiencies, renewals, or expirations.
  • Support code enforcement, planning, and building department activities as needed.


Education Requirements



  • High school diploma or GED required.
  • Associate degree in Public Administration, Business Administration, Construction Management, or related field preferred.
  • Equivalent combination of education and experience may be considered.


Experience Requirements



  • At least 2 years of administrative, municipal government, customer service, permitting, planning, or construction-related experience preferred.
  • Strong organizational skills with the ability to prioritize multiple responsibilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and common office software.
  • Professional demeanor with strong attention to detail and customer service skills.


Preferred Qualifications



  • Previous experience supporting multiple departments or executive staff is beneficial.
  • Experience with scheduling, document preparation, recordkeeping, and office coordination is preferred.
  • Familiarity with business software, office equipment, and data entry systems is considered an asset.
  • Individuals who demonstrate initiative, adaptability, and professionalism are well positioned for success as a Permit Office Specialist.


Physical Capabilities



  • Ability to remain seated or stand for extended periods while performing office tasks.
  • Frequent use of computers, telephones, and other standard office equipment.
  • Occasional lifting or moving of office supplies and materials up to 25 pounds.
  • Ability to communicate effectively with coworkers, customers, and visitors.
  • Ability to sit for extended periods while performing administrative duties.
  • Frequent use of computers, telephones, and standard office equipment.
  • Occasional standing, walking, bending, and filing.
