Overview and Responsibilities

Job Summary

We are seeking a dedicatedProcurement Specialist to join our team. In this position, you are responsible for building daily purchase orders, working with vendors to determine the status of shipments, reconciling invoices and closing receipts, as well as reporting discrepancies between purchase orders and deliveries. This position engages in a variety of warehouse and business transactions that are critical to the operation of the Murray Distribution Center including supporting the accurate and timely supply of products to the Company's patient base, product storage, determining vendor accuracy, verifying pricing and securing relevant information to order or process orders from vendors and third party shippers. The Procurement Specialist engages with both internal and external stakeholders to fulfill their duties as described below.

Essential Job Duties and Responsibilities

  • Assist team members to accurately receive, verify and put away all inventory receipts
  • Assist with special projects and other departments in line with business needs
  • Assists in providing information necessary to process invoices for payment
  • Build and place orders with vendors and manufacturers as necessary
  • Communicate effectively with team members, management, vendors and other departments both verbally and in writing to ensure questions and concerns are processed in a timely manner
  • Communicate quantities of discontinued or expiring product to management to help determine best course of action
  • Communicate stock outages and delays to internal stakeholders as necessary
  • Establish relationships with department peers and other departments
  • Files all Bills of Lading, packing slips, purchase orders and other documentation as necessary
  • Follow up on outstanding invoices and bills with Accounts Payable
  • Follow up on outstanding orders as necessary
  • Maintain a clean, organized and safe warehouse working environment
  • Place purchase orders for internal stakeholders at Murray Operations
  • Practices safe work habits, ensuring a safe work environment
  • Process both manual and electronic invoices for payment through Accounts Payable
  • Provide estimated shipping and delivery dates
  • Resolve quantity or pricing discrepancies with vendors and Accounts Payable
  • Review stock quantities based on established ordering metrics to prevent stock outages
  • Schedule pickup of product incorrectly shipped by vendors
  • Strong verbal and written communication skills
  • Understand operations and processes with the Warehouse Management System
  • Update ordering files as necessary and submit daily purchasing and stock reports
  • Volunteers and performs other duties as required or assigned
  • Performs other duties as assigned

Qualifications

Required Education and/or Experience

  • High school diploma or GED equivalent, required

Preferred Education and/or Experience

  • Experience in inventory, accounting and payment processing, preferred
  • Experience with medical equipment, preferred
  • Experience in medical field, distribution and inventory management, preferred
  • One year of related work experience, preferred
  • Medical terminology, preferred

Skills and Competencies

  • Accurately perform simple mathematical calculations
  • Effectively communicate in English; both oral and written
  • Interpret a variety of communications (verbal, non-verbal, written, listening and visual)
  • Maintain confidentiality, discretion and caution when handling sensitive information
  • Multi-task along with attention to detail
  • Self-motivation, organized, time-management and deductive problem solving skills
  • Work independently and as part of a team

Machines, Equipment and Technical Abilities

  • Handheld bar code scanner, manipulate the scanner and input the required data
  • Utilize a computer and operate select functions within the Warehouse Management System
  • Utilization of certain material handling equipment
  • Operate a forklift, pallet jack or other load moving equipment
  • Email transmission and communication
  • Internet navigation and research
  • Microsoft applications; Outlook, Word and Excel
  • Office equipment; fax machine, copier, printer, phone and computer and/or tablet

Physical Demands

  • Lift individual boxes, typically weighing under 30 lbs.
  • Manipulate pallets of products using a hand truck, forklift or other equipment
  • Accessing product using approved safety stairs
  • Clearly read small print on forms and product labels
  • Extensive walking and working on one's feet for extended periods of time
  • Sitting at a desk or work station for extended periods of time
  • Requires close vision to small print on computer and/or tablet and paperwork
  • Requires sitting, walking, standing, talking and listening
  • Warehouse and office environment; primarily indoors, but some outdoor work may be required
