Police Administrative Clerk

Chicago Police Department

Number of Vacancies: 10 (Additional vacancies possible pending budget approval)

Salary: $51,936.00

This position is open to current AFSCME BIDDERS AND the PUBLIC. Only current City employees covered under the City's Collective Bargaining Agreement with American Federation of State, County, and Municipal Employees Union - AFSCME (BARGAINING UNITS 1, 3, 4, & 5) are considered BIDDERS and are eligible to bid. Under supervision, performs administrative work in support of a District Station supervisor and/or an assigned police district watch operation, and performs related duties as required.

ESSENTIAL DUTIES

* Provides customer service to the public via the telephone or through front desk interaction responding to inquiries and providing referral services

* Initiates police written reports from citizens

* Receives incoming telephone and voice radio calls from officers in the field requesting information * Performs record and warrant checks, logs and processes served warrants, and verifies warrant status with outside agencies

* Scans and copies arrest records for distribution to different divisions and determines whether a copy may

be released to the press; processes new fingerprint cards

* Checks various law enforcement databases for verification of information including (i.e., license plates, arrestee data, names, and case reports)

* Distributes and collects hand radios, Tasers, and keys to Police vehicles

* Processes and distributes incoming crime, traffic reports and transmittal records

* Assists the public in filling out reports and applications, and collects monies for warrants and permits

* Provides outside agencies with crime and arrest reports after determining that the information may be

released

* Performs a wide variety of routine clerical work including filing, billing, checking, and recording information on records

* Maintains a variety of statistical records; compiles and tabulates statistical data, and prepares simple statistical reports

* Performs record keeping for various funds and expenditures

* Maintains personnel and payroll records of departmental personnel; processes a variety of forms to initiate changes in records

* Maintains inventory records of recovery evidence and detainee property, processes storage and retention schedules, and resolves record keeping errors

* Orders office supplies and submits expense claims

* Prepares letters, memorandums, financial reports, and other materials from oral direction, rough draft, copy, notes or transcribing machine recordings

* Sorts and files documents and records maintaining alphabetical, index, and cross reference files

* Receives, sorts, and distributes incoming and outgoing correspondence

* Schedules appointments and various meetings

* Issues, receives, types, and processes various applications, permits, and other forms

* Assists in the training of new personnel

Additional duties may be required for this position.

Location: Police districts 001, 005, 009, 016, 017, 019, & 024

This list is subject to change based on the exercise of current Police Administrative Clerks'

transfer rights in accordance with the AFSCME CBA.

Shifts: 1st, 2nd, or 3rd

Hours: Various (9:00 PM-5:00 AM, 5:00 AM-1PM, or 1:00 PM-9:00 PM)

Days Off: Rotating Days Off (May require weekend and holiday work.)

Qualifications

MINIMUM QUALIFICATIONS

Two (2) years of clerical work experience

Should the above criteria not be fulfilled, the following options are acceptable:

o A diploma or a certificate of completion from a vocational or business education program

in Office Administration or a directly related field, plus one (1) year of clerical work experience

o Graduation from an accredited college or university with an Associate's degree or higher, plus one (1)

year of clerical work experience

Preference will be given to candidates possessing the following:

  • Previous experience in law enforcement separated from service in good standing
  • Previous civilian experience in law enforcement
  • Previous experience with customer service via telephone or in person
  • Previous experience with Microsoft Office software

SELECTION REQUIREMENTS

This position requires applicants to successfully pass a skills assessment test and complete an interview. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. The candidates that receive a passing score on the skills assessment test will be invited to interview for the position. Candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position, based on the interview, will be selected in seniority/lottery order.
