What You'll Be Doing



  • Empower Leadership: Masterfully manage complex executive calendars, coordinate seamless domestic and international travel, meticulously process expense reports, and oversee all visitor and safety registrations to ensure smooth operations for senior leaders.
  • Orchestrate Seamless Events: Take full ownership of setting up physical meeting spaces for both local and international guests, ensuring every detail from room preparation and functional equipment to clear signage is perfectly executed.
  • Manage Catering Logistics: Coordinate all food and beverage needs, from vendor sourcing and order placement to managing on-site delivery, setup, and thorough cleanup, ensuring a flawless experience for all attendees.
  • Maintain Financial Precision: Accurately track Purchase Orders (POs) using Excel, diligently update essential team lists, and organize critical files, contributing to robust financial record-keeping.
  • Optimize Office Operations: Proactively manage office supplies inventory, handle incoming deliveries, and provide comprehensive general office support, ensuring a consistently efficient and well-resourced environment.


What We're Looking For

Must-Have Skills & Experience



  • Proven Executive Support: A minimum of 5 years of dedicated, hands-on experience providing high-level administrative support to executive leadership (VP/SVP level).
  • Software Mastery: Solid proficiency in Excel, including data sorting, list management, and basic formatting. Expert command of Outlook and Word. A rapid learner, capable of quickly mastering new internal software and systems.
  • Exceptional Organization & Accuracy: Demonstrated meticulous attention to detail and unwavering accuracy when managing financial data, Purchase Orders, and intricate travel logistics. Proven ability to expertly track and prioritize multiple complex tasks simultaneously.
  • Proactive & Service-Oriented: A genuinely helpful and proactive approach, consistently eager to anticipate needs and resolve challenges, from intricate scheduling conflicts to coordinating multi-day event catering.
  • Impeccable Communication & Discretion: Polished and professional verbal and written communication skills, essential for effective interaction with internal teams, external vendors, and high-profile guests, coupled with an unwavering commitment to confidentiality.
