Job Description

Under the general direction of the Infrastructure Supervisor, the Microsoft 365 & Dynamics Administrator serves as the administrator for the organization's Microsoft 365 and Microsoft Dynamics environments. This role is responsible for the day-to-day administration, configuration, maintenance, security, and support of Microsoft 365 services and Dynamics applications. The incumbent monitors system performance and availability, manages user access and administrative configurations, troubleshoot issues, and coordinates with internal development teams, vendors, and other technical resources for application enhancements, integrations, and complex technical issues.

This position is a career appointment that is 100% fixed.

The home department is IT Services. While this position normally is based in Davis, CA, this position is eligible for hybrid flexible work arrangements for applicants living in the State of California at this time. Please note that hybrid flexible work arrangements are subject to change by the University.

Pay Scale: $108,262.80/year to $157,184.64/year

Key Responsibilities:

Microsoft 365 Administration
  • Independently administer and architect the enterprise Microsoft 365 tenant, including licensing strategy, service configuration, and optimization across Exchange Online, SharePoint Online, Teams, OneDrive, and related services.
  • Design, implement, and maintain Microsoft Entra ID (Azure AD) app registrations, enterprise applications, and Conditional Access policies, evaluating complex access scenarios and selecting appropriate controls and evaluation criteria.
  • Manage user and group access in a complex hybrid identity environment integrated with on-premises Active Directory. Design and maintain identity synchronization, authentication, and Multi-Factor Authentication (MFA) configurations, and coordinate with infrastructure teams to resolve cross-system issues.
  • Maintain complex security, retention, Data Loss Prevention (DLP), and compliance configurations. Interpret and apply UC policies, standards, and regulatory requirements to Microsoft 365 controls, and provide recommendations and requirements on access controls.
  • Specify, develop, and maintain advanced PowerShell scripts and Microsoft Graph API integrations to automate administration, reporting, and operations across multiple integrated systems.
  • Evaluate Microsoft 365 service updates and roadmap changes, assess their operational, security, and business impact, and lead implementation planning. Maintain technical documentation and deliver technical communications and presentations to IT teams, technical units, and end users.
  • Monitor service health, availability, and independently diagnose and resolve complex service and configuration issues. Serve as the technical escalation point with Microsoft support, vendors, and other technical teams.

Microsoft Dynamics Administration
  • Independently administer Dynamics 365 environments across production and non-production tiers, including environment strategy, capacity planning, and service health. Resolve complex issues in coordination with internal technical teams, vendors, and Microsoft support.
  • Lead User Acceptance Testing (UAT) and evaluate Microsoft-initiated updates and patches in non-production environments, assessing impact on business processes and integrations before production release.
  • Design, configure, and maintain Dynamics 365 application components, including tables, fields, forms, views, and queues. Translate business requirements into technical solutions and define requirements and technical direction for complex enhancements developed by internal teams and vendors.
  • Maintain and optimize Power Automate flows, Power Apps, and related Power Platform components. Analyze and resolve complex operational issues, evaluate proposed changes, and provide technical oversight of development work.
  • Design and manage the Dynamics 365 security model, including users, teams, security roles, business units, and application permissions, ensuring alignment with UC security and access requirements.
  • Lead data imports, exports, data quality, and data administration activities. Analyze complex data and integration issues and coordinate resolution with development teams and vendors.
  • Serve as technical authority and escalation point for Dynamics 365. Maintain system documentation, identify root causes of defects and integration failures, and direct them to the appropriate development team or vendor.

Operational Support and Coordination
  • Participate in the on-call rotation and provide after-hours support for critical outages and maintenance windows, serving as an escalation point for complex incidents.
  • Resolve complex incidents and service requests, ensuring accurate documentation and tracking in ServiceNow.
  • Develop and maintain technical documentation, standard operating procedures (SOPs), and knowledge base articles, and transfer knowledge to the help desk and other IT staff.
  • Design and manage data resiliency and recovery strategies that support business continuity and align with UC data retention policies.
  • Collaborate with infrastructure and development teams on joint projects, aligning technical solutions with organizational goals and presenting recommendations to technical teams and stakeholders.

Requirements:

  • Bachelor's degree in a related field or equivalent combination of education and experience.

  • Five to seven (5-7) years of progressively responsible experience administering and supporting Microsoft technologies in an enterprise environment, including Microsoft 365 services and Active Directory.

  • Highly skilled in assessing the functionality of systems and technology.

  • Advanced working knowledge of Microsoft 365 tenant administration, including services such as Exchange Online, SharePoint Online, Microsoft Teams, and OneDrive.

  • Experience with user, group, role, permission, and access administration in Microsoft environments, including an understanding of hybrid identity environments.

  • Demonstrated advanced ability to diagnose and resolve application, access, configuration, and service-related issues and effectively coordinate complex issues with other technical teams or vendors.

  • Advanced experience administering or supporting Microsoft Dynamics 365 in a production environment.

  • Ability to communicate effectively with technical and non-technical stakeholders and develop and maintain technical documentation and standard operating procedures.

  • Experience supporting Microsoft 365 in an environment utilizing on-premises Active Directory and Entra ID Sync.

Preferred Skills:

  • Experience administering, configuring, or supporting Microsoft Dynamics 365, another enterprise CRM/business application, or comparable application platforms.

  • Experience with Microsoft Power Platform, including Power Automate, Power Apps, and Dataverse.

  • Familiarity with Microsoft 365 security, compliance, retention, and Data Loss Prevention (DLP) capabilities.

  • Microsoft certifications related to Microsoft 365, Dynamics 365, Power Platform, or other relevant Microsoft technologies.

  • Familiarity with University of California IT policies, security standards, data-classification requirements, and administrative environments.

  • Experience with Power BI or other reporting and data-visualization tools.

Special Conditions of Employment:

  • Must possess valid California Driver's License to drive a County or University vehicle. Ability and means to travel on a flexible schedule as needed, proof of liability damage insurance on vehicle used is required. Reimbursement of job-related travel will be reimbursed according to University policies.
