Bachelor's degree in accounting or a related field, or equivalent, and 5 years of professional experience

Preferred Qualifications

  • Knowledge of and experience with Quickbooks highly preferred

  • CPA experience highly preferred

Position Summary
The Financial Operations Training Specialist creates and implements training programs for UGA Extension, serving county-based faculty and staff. The incumbent maintains a positive working relationship with all county, district, and administrative personnel. Due to the complex nature of the organization and operations, which include UGA Cooperative Extension and its county delivery service, the incumbent helps maintain accountability of funds, both state and local, to continue the College's reputation of credibility with stakeholders.

The employee reports to the CAES Business Office under the leadership and supervision of the Director of Business Services. The employee will receive indirect guidance from the Director of Extension County Operations, Associate Dean for Extension, the CAES Senior Director of Finance and Administration, and UGA's Internal Auditing Division as appropriate.

The CAES Business Office is a college-wide support unit that reports to the Dean and Director of the College of Agricultural and Environmental Sciences. This office is responsible for developing annual legislative budget requests and the overview of business operations for the College's teaching, research, and extension functions. This office performs management, monitoring, and reporting of state, federal, and sponsored funds, including budgeting, accounting, contracts and grants, and accountability reporting to both state and federal governments.

Duties/Responsibilities

  • Conduct audits of all County Extension accounts state-wide to ensure coherence to both UGA and County Funds policy and procedures. Provide written feedback in the form of an audit report, to be reviewed at the county, district, and statewide level in order to adhere to UGA fiscal policy. Prepare various accounting statements and audit reports, assist in establishing and reviewing county accounting systems' policy and procedures.
  • Investigate and resolve various accounting issues. This position will work closely with UGA Internal Auditing Division as the CAES liaison in regards to fiscal malfeasance and other issues.
  • Employee will drive to various locations throughout the State to complete essential functions of the role.

Duties/Responsibilities

  • Train District and County faculty and staff in proper accounting policy and procedures as they pertain to UGA and Cooperative Extension County Funds Policy. This position will be the statewide contact for accounting software (QuickBooks) used at the county level. Train department, center, and unit based faculty and staff in proper accounting policy and procedures as they pertain to UGA Policy and Federal and state laws and regulations.
  • Coordinate the College's Payment Card Industry (PCI) compliance efforts: Collaborate with the CAES IT Director and UGA Bursar and Treasury Services to coordinate PCI compliance for CAES departments, units, and centers. Develop training, guides, and templates for Cooperative Extension Service offices. Review and recommend changes to CAES credit card policies. Research relevant changes to PCI compliance requirements and UGA credit card policies. Perform reviews for PCI compliance and CAES policy.
  • Maintain records and follow up on annual tax returns for all County Extension Offices.

  • As needed - Conduct CAES fiscal consultations across all campuses, departments, units, and research and education centers in order to offer assistance and proactively prepare for potential reviews by UGA Internal Auditing or other governmental oversight - this includes assistance visits directed by the CAES Business Office or requested by Unit Administrators.
