Position Highlights

The Department of Translational Neuroscience invites motivated, experienced, and creative administrative professionals to apply for the position of Administrative Support Assistant III. The successful candidate will be an important contributor to a new and rapidly expanding research and teaching Department at the cutting edge of neuroscience and development of new treatments for diseases of the brain. Administrative responsibilities include assistance with broad aspects of departmental operations including educational mission and research support, financial transactions, recruitment and speaker visits, meeting scheduling and assistance, and promotion of positive workplace culture. The TNS Department is comprised of innovative teams of well-funded and recognized principal investigators and outstanding researchers. This position is integral to the success and impact of multiple innovative programs, and the successful candidate will have the opportunity to meaningfully contribute to a very exciting environment.

Duties & Responsibilities
  • Contribute to the management and development of departmental initiatives.
  • Plan and organize departmental events including logistics and services coordination.
  • Provide support for the educational enterprise including lecture scheduling and materials distribution.
  • Prepare background information for meetings and appointments.
  • Assist in scheduling meetings for the team at-large including both internal and external stakeholders.
  • Reconcile department purchasing transactions, aid financial analysts, and ensure policy compliance.
  • Process expense and travel reimbursements.
  • Assist with onboarding new employees and personnel growth.
  • Assist with planning and coordination of seminar speakers, visitors, and faculty recruitment.

Knowledge, Skills, and Abilities:

  • Effective verbal and written communication; ability to communicate with different groups and individuals, both internal and external to University of Arizona.
  • Ability to handle multiple, competing deadlines for meetings.
  • Flexible and adaptable to the department's growing and changing needs.
  • Ability to work independently.
  • Demonstrated ability to quickly learn new programs and systems.
  • Knowledge of Microsoft suite, Box, and Zoom.

Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications

  • Experience with University financial policies and procedures, particularly regarding purchasing and travel.
  • Experience with graphics software such as Creative Cloud and/or web page content maintenance.
