Job Title: Proposal Writer/Bid Manager (RFP/RFI/RFQ) for a consulting firm specializing in IT, Financial Services, Pharma, Energy, USA Federal/State/County and Commercial clients.

Location : Chantilly , VA . Should be able to come to office couple of days a week.

Job Description:

Position Overview: We are seeking a skilled Proposal Writer to develop high-quality, persuasive proposals for projects spanning the US - IT, financial services, pharmaceutical, and energy sectors, as well as federal and commercial clients. This role requires exceptional writing and editing abilities, a strong understanding of various industry standards, and the capacity to collaborate with cross-functional teams to create compelling proposals that drive business growth. The Proposal Manager also ensures compliance with applicable federal regulations, as well as RFPs terms. The role will be involved in bid no/go discussions and criteria, gathering and formatting information; writing drafts; obtaining approval, and managing all deadlines related to proposals.

Essential Duties and Responsibilities:

  • Proposal Development: Assemble information for proposals, including project objectives, outcomes, deliverables, schedules, implementation plans, staffing, budgets, and performance standards.
  • Research and Analysis: Conduct comprehensive research on client needs, industry trends, and competitive positioning across the various sectors to inform proposal content.


  • Content Creation: Write, revise, and edit proposal drafts, including executive summaries, conclusions, and organizational credentials. Develop engaging and persuasive content that effectively communicates the company's value proposition, solutions, and capabilities within each sector.


  • Pricing and Budgeting: Assist in developing pricing schedules and ensure alignment with proposal content.
  • RFP Management: Review and respond to Requests for Proposals (RFPs) and other solicitation documents.
  • Deadline Management: Meet proposal deadlines by setting priorities, target dates, and managing information gathering, writing, review, and approval processes.
  • Tracking and Monitoring: Enter and monitor tracking data for multiple proposals, ensuring accurate status updates.
  • Coordination: Work closely with sales teams, technical experts, and project managers to gather relevant information and ensure accuracy and coherence in proposal submissions. Coordinate requirements with contributors, provide status updates at review meetings, and manage proposal transmissions.
  • Quality Assurance: Maintain high-quality results by using templates and adhering to proposal-writing standards, including readability, consistency, and tone.
  • Process Improvement: Evaluate and redesign proposal-writing processes, approaches, and boilerplate content to improve results.
  • Editing and Proofreading: Review and refine proposal drafts for clarity, consistency, and alignment with client specifications and industry standards.
  • Ownership and Initiative: Accept ownership for new and different requests, explore opportunities to add value, and accomplish organizational goals.
  • Resource Management: Manage external resources such as graphic designers and proposal managers.
  • Business Development: Participate in Client meetings with potential partners and contribute to the creation and organization of the past performance, proposal, and proof point libraries.


Qualifications:

  • Experience: Proven experience in proposal writing with a background in IT, financial services, pharmaceuticals, energy, and commercial sectors.
  • Skills: Excellent writing, editing, and proofreading skills with meticulous attention to detail.
  • Knowledge: Strong understanding of industry-specific requirements, regulations, and trends in IT, financial services, pharmaceuticals, energy, and federal/commercial sectors.
  • Communication: Superior verbal and written communication skills with the ability to convey complex information clearly.
  • Project Management: Ability to manage multiple proposals and deadlines effectively in a dynamic environment.
  • Tools: Proficiency in proposal management software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • USA Staffing Bidding experience is an added advantage


Education/Experience:

  • Bachelor's degree in English, Communications, Marketing, or a related field. Specialized knowledge or experience in relevant sectors is a plus.
  • 5+ years of experience in developing and managing proposals for Fortune 500 clients
  • Prior experience with Commercial Proposal responses (RFPs)
  • Expertise in full cycle proposal writing (Diverse supplier registry to RFI/RFP to MSA)
  • Technical Documentation and Layout Skills are required.
  • Experience supporting Staffing/SoW Proposals in IT and non-IT Preferred.
  • Demonstrated track record of successful Bid Management of large / medium size deals.



Additional Information:

  • The role may require occasional travel or extended hours to meet proposal deadlines.
  • The Proposal Writer will be integral to winning new business and enhancing client relationships through high-quality proposal submissions.
