Position Title:Adult Trauma Registry Supervisor Department:Trauma Program Job Description:

General Description:

Under general direction of the Trauma Program Leadership, oversees the daily operations of the Trauma Registry function of the Trauma Program. Ensures trauma cases are abstracted and compliant with American College of Surgeons, National Trauma Data Bank, Trauma Quality Improvement Program and State requirements. May provide day-to-day assistance to registry staff in order to assist in prioritization of work and to ensure that all functions operate smoothly.

Essential Responsibilities:

  • Provide support and supervision for trauma registrars. Monitors productivity and accuracy. Makes work assignments.
  • Has working knowledge of the American College of Surgeons and Oklahoma State Department of Health inclusion criteria and ability to review reports and/or charts for possible candidates and select qualifying patients for the Trauma Registry.
  • Reviews trauma patients' clinical records across the continuum of care, including: EMS reports, police reports (if available), the Emergency Department, Surgery, and inpatient records, and applies appropriate Abbreviated Injury Scale scores and validates ICD-10 diagnostic codes, operative codes, and E-codes.
  • Enter and submit trauma patient data, through the trauma registry software, according to established state and national protocols.
  • Identify and abstract trauma registry data cases by referencing primary and secondary sources of information.
  • Complete each identified patient record in a timely manner as requested by the Trauma Program Leadership.
  • Serves as a Resource for the training and growth of Trauma Registry personnel
  • Ensures that all cases are entered and the record is closed within 60 days of discharge.
  • Works closely with Trauma Program Manager to identify opportunities for clinical quality improvement and other special projects.
  • Serve as a liaison to trauma software vendors in resolution of problems.
  • Ensures that patient confidentiality is met in regards to HIPAA compliance.
  • Analyzes trauma data to provide both routine and ad hoc reports of trauma statistics as requested.

General Responsibilities:

  • Oversee their education, training, and development into the trauma registry role.
  • Ensure initial and ongoing certification needs are met.
  • Serve as a resource person in the development, maintenance, and troubleshooting of assigned database initiatives.
  • Continually analyze new and revised specifications for the ACS NTDB, ACS TQIP, and Oklahoma State Trauma registries and develop a comprehensive understanding of reporting requirements.
  • Oversee efforts to update registry data capture and optimization to ensure ongoing performance improvement efforts and compliance.
  • Network with the ACS, the National Trauma Data Bank (NTDB), internal and external application administrators, and statewide trauma agencies and organizations.
  • Serve as member of the Trauma Operations and Process Improvement Committee(s)
  • Support the Trauma Program by coordinating various clinical data collection initiatives for performance improvement, state reporting and designation, national reporting, and ACS Trauma Center verification.
  • Ensures appropriate and timely submissions of Trauma Registry Data to all applicable entities, including the ACS TQIP Program and State
  • Educate QI, Trauma Surgery, and IT regarding potential impact on workflow requirements.
  • Actively participate in data-driven quality improvement activities.
  • Performs other duties as assigned

Minimum Qualifications:

Education: Associate's degree in applicable field required. Bachelor's degree in Health Information Management or from an accredited nursing program preferred.

Experience:

  • 1 to 3 years of demonstrated leadership experience required.

  • 3 or more years with trauma registry experience in a trauma center required.

  • Clinical chart review and abstraction experience required.

  • Experience with Excel and interpreting and complying with requirements of regulatory and/or accrediting agencies preferred.

Licensure/Certifications/Registrations:

The following courses are required or must be completed within 12 months of hire:

  • The American Trauma Society's Trauma Registrar Course or equivalent provided by a state trauma program.
  • The Association of the Advancement of Automotive Medicine's Injury Scaling Course.
  • ICD-10 Coding Course that must be refreshed every five years.

CSTR/CAISS certifications preferred.

Knowledge, Skills and Abilities:

  • Knowledge of principles and practices of clinical trauma care, the trauma registry, medical records, coding and registry report writing
  • Ability to analyze and interpret information in a medical record.
  • Database management skills, especially in abstracting and coding trauma related data from medical records and laboratory reports that are computerized.
  • Project management skills and the ability to work independently as well as collaboratively with diverse populations of healthcare workers is critical.
  • Good computer, including spreadsheet and word processing, and interpersonal skills, professional behavior and the ability to collaborate with others across the healthcare spectrum.
  • Demonstrated ability to grow and adapt in a changing environment.
  • Skill in presenting and analyzing information to a variety of audiences.
