About the College/Unit/Department
As the 4th largest public college of education in the country and the 3rd largest college at UGA, the Mary Frances Early College of Education ( MFE COE) improves the lives of residents of Georgia and beyond through our instruction, research, and service. The MFE COE is a comprehensive college with disciplines focused on teacher preparation, counseling and human development, communication sciences, human movement sciences, career development, student affairs, and educational administration and policy. We place significant emphasis on graduate education with approximately 40% of our students at the graduate level, making us the second largest college at UGA with respect to graduate education.

Position Summary
This is a professional position to be held by a highly responsible individual who will provide project management for the UGA AI4STEM Education Center and the IES National GENIUS Center. The incumbent will be responsible for providing project management from project development and capture through execution for large, externally funded research programs. The individual will work closely with researchers and graduate assistants within and outside of UGA as they coordinate the activities of various NSF, IES, and NIH-funded projects. Work will be performed under the general guidance of the Center Director, Xiaoming Zhai.
Knowledge, Skills, Abilities and/or Competencies

  • Project management and/or Program Coordination experience in an academic environment.
  • Agency Grant or Contract Project Management and/or Program Coordination experience. NSF, IES, or similar government agency projects is highly desirable.
  • Hold or have future plans to receive Project Management Professional (PMP) certification.
  • Extensive knowledge of the methods, procedures, and techniques used in grant preparation, coordination, and implementation at an academic institution.
  • Ability to establish and maintain effective professional working relationships with university personnel, state and federal agencies, and private organizations.
  • Ability to lead as well as work as a team member with all project partners and staff.
  • Excellent verbal and written communication and presentation skills.
  • Exceptional organization skills with an ability to multitask.
  • Strong customer service orientation and commitment.
  • Exhibit a very high level of initiative.
  • Ability to work independently and with multiple partners and stakeholders in a deadline-oriented environment.
  • Experience assigning tasks and monitoring progress to meet project needs and deadlines.

Provide project management and coordination for the initiatives and incoming or current projects of the UGA AI4STEM Education Center & IES National GENIUS Center, including the following:

  • Support AI4STEM director in coordinating other partner institutions and internal collaborators to establish clear project outcome plans, responsibilities, team norms, and progression tracking plans.
  • Coordinate and specify the weekly activities for project personnel, set norms for Center members, and develop mechanisms to track progress of tasks.
  • Create meeting agendas and lead and facilitate project meetings depending on size of projects.
  • Support the communication and networking with the advisory board members and program officers.
  • Assist the Director with national network activities within the realm of AI4STEM and the IES GENIUS Center
  • Recruit new members (e.g., Postdocs, developers, research assistants)
  • Outreach school participants, including reporting, and relationship cultivation and maintenance.
  • Address team formation and development and team training, particularly train new project managers.

Post-award duties, include the following:

  • Manage IRB submission, approval, and amendment.
  • Oversee data management and sharing plan across institutions.
  • Coordinate and support data collection, management, and sharing.
  • Coordinate and oversee the internal AI4STEM members and report to the Director.
  • Organize advisory board meetings, develop agenda, and support their travel plans.
  • Assist the Director with dissemination and annual report activities.

Duties/Responsibilities
New proposals and initiative development. Duties include the following:

  • Independently research existing information about large integrative grant programs, sponsors, agencies, and potential collaborators. Use this information to strategize the development of individual proposals.
  • Create project plans with timelines and checklists for proposal submission and document creation for major grant proposals in coordination with the grant office and Proposal Enhancement Officer and ensure faculty team adherence.
  • Create meeting agendas. Lead and facilitate meetings of between 5-20 faculty member(s), depending on size of proposal.
  • Work with the Director to develop and implement proposal strategies; lead the proposal team in accordance with this strategy throughout the proposal development process to ensure cohesiveness of proposal vision and competitiveness of proposal.
